Why This Policy Is Important

When we work with you, we’ll ask for some personal information — such as your financial situation, health history and family details. This policy explains:

  • What information we collect
  • Why we collect it
  • How we use it
  • Your rights

Whose Data Do We Process?

We process personal data relating to:

  • Clients (including prospective, current, and former clients)
  • Staff (employees, contractors, and job applicants)
  • Third-party providers and professional contacts

What We Mean by “Your Personal Data”

Clients

  • Full name, date of birth, contact details
  • National Insurance number, financial information, employment details
  • Investment history, tax information, risk tolerance
  • ID documents (passport, driving licence), utility bills
  • Sensitive data (e.g. health information for protection products)

Staff

  • Name, address, contact details, date of birth
  • Employment history, education, references, background checks
  • Payroll and tax data (e.g. NI number, salary, bank details)
  • Appraisals, disciplinary records, and training history

We may also need special category data (like health or ethnicity) or criminal records if relevant to the services you’re asking for.

Why We Collect and Use Your Data

We collect your data to:

  • Deliver our financial advice and services
  • Contact product providers (like insurers or investment companies)
  • Meet legal or regulatory requirements (e.g., with the Financial Conduct Authority)
  • Improve our service and ensure quality
  • To detect fraud and financial crime

We only collect what’s necessary and use it lawfully—either to fulfil our contract with you, meet legal obligations, or where there’s a legitimate interest (like fraud prevention or network security).

Special Category and Criminal Data

Sometimes, we may ask for more sensitive data—especially if you’re applying for things like life or health insurance. This may include:

  • Health conditions or medical history
  • Ethnic background (if relevant)
  • Criminal convictions (for underwriting or fraud checks)

We’ll only collect and share this data when it’s needed and handled with extra care.

How We Collect Your Information

We get your personal data from:

  • You directly (in meetings, emails, phone calls)
  • Your employer (if applicable)
  • Public sources like the electoral roll
  • Technology tools (like ID verification or credit checks)
  • Our website (via cookies)
  • Employer references

We also record calls and meetings, which helps us improve service and meet compliance standards.

How We Use Cookies on Our Website:

Cookies help us:

  • Understand how you use our website
  • Personalise your browsing experience
  • Track visits and improve performance

You can turn off cookies in your browser, but some features might not work properly.

Sharing Your Information

We only share data when necessary and only with:

  • Investment and insurance providers
  • Trusted third parties (like compliance advisers or specialists)

We do not allow these third parties to use your data for marketing.

We do not transfer your data outside the UK or EEA without proper safeguards.

How We Keep Your Data Safe

We protect your data using secure systems and strict access controls. We also encourage you to:

  • Avoid sending sensitive information by unsecured email
  • Use password-protected documents when needed
  • Encryption and secure servers
  • Staff Training on confidentiality and data protection
  • Regular audits and compliance reviews
  • We do not routinely transfer personal data outside the UK. If international transfer is necessary (e.g. cloud service providers), we ensure it is protected by appropriate safeguards (e.g. Standard Contractual Clauses).

How Long We Keep Your Data

Clients

We keep your data for at least 6 years after you’ve used our services. In some cases, we may retain it longer to meet legal or regulatory requirements.

Staff

  • Payroll and employment records retained for 6–7 years after employment ends
  • Recruitment data held for 12 months if unsuccessful

If You’re Under 13 (or a Parent/Guardian)

We handle children’s data with extra care and always obtain parental consent where needed. Children’s data is only used when essential and is kept secure.

Legitimate Interest

In the event of a business sale, merger, or restructure, we may transfer client data to another Independent Financial Adviser (IFA) to ensure continuity of financial advice and services.

This transfer is based on our legitimate interests under Article 6(1)(f) of UK GDPR. A Legitimate Interest Assessment (LIA) has been completed to confirm that the processing is necessary, proportionate, and aligned with client expectations.

This may include contact details, financial information, investment history, and advice records.

The receiving IFA will be a regulated financial adviser subject to UK GDPR and will handle data securely and lawfully.

We use secure transfer protocols, data minimisation, and have a formal Data Sharing Agreement (DSA) in place with the receiving IFA to ensure compliance with UK GDPR.

If you wish to object to the transfer, please contact our Data Protection Officer using the details below.

We remain accountable for ensuring that any data transfer is lawful, fair, and transparent.

Your Rights

You can:

  • Ask for a copy of your personal data
  • Request corrections or deletions
  • Ask us to limit or stop using your data
  • Withdraw consent for marketing
  • Ask us to transfer your data to another provider

To make any of these requests, contact us anytime.
